JOB DESCRIPTION – COORDINATOR OF COMMUNICATIONS

 

Title:                                        Coordinator of Communications

Reports to:                             Superintendent

Employment Status:                        Full time, 260 days

FLSA Status:                        Exempt

 

Qualifications:

1.         Bachelor’s degree or higher in Marketing, Journalism, Communications or Public Relations from a recognized university, or training and experience deemed acceptable.

2.         Minimum of five (5) years experience in public education or public relations, including experience in media relations and public relations planning.

3.         Excellent oral and written communication skills.

4.         Ability to recognize, analyze and manage communication problems and opportunities and propose appropriate action.

5.         Demonstrate experience in public relations and/or school administration and broad understanding of the roles of different audiences and patrons within a school district and its community.

6.         Demonstrate expertise in desktop publications, graphics, photography, and customer service.

 

General Description

Under the direction of the Superintendent of Xenia Community Schools, the coordinator assists in the development of pride in and support for the school district; disseminates timely and relevant information to all stakeholders, both internal and external; handles all media relations; and remains current on community and educational issues.

 

Essential Functions

1.         Assists the Xenia Superintendent in the fulfillment of his/her duties and acts in his/her behalf at district functions and meetings in his/her absence.

2.         Researches, analyzes, and assists in the development of organizational plans for the district.

3.         Writes applications for proper state and federal programs.

4.         Researches, reviews, and writes local, private foundation, state, and federal grant proposals; which would enhance the Xenia Community

Schools program.

5.         Oversees charitable fundraising for the district.

6.         Directs and maintains an effective communications program with employees and residents of the school system.

7.         Manages all district communication activities, involving internal and external audiences, including community relations, marketing and public relations.

8.         Serves as communications liaison between the media, the Superintendent, staff and schools.

9.         Develops and maintains an effective working relationship with members of the news media.

10.       Advises the Superintendent on the probable public relations consequences relating to shifts in existing programs and policies.

11.       Assists the Superintendent in explaining public opinion to the staff.

12.       Assists the Superintendent, upon request, with speech preparations.

13.       Designs, writes, and edits district publications including newsletters, brochures, news releases, feature stories, annual report and other documents as needed.

14.       Assists with the district web site and assists in the maintenance of district information provided on the site.

15.       Coordinates the district-level employee and student recognitions including Board of Education resolutions and media releases regarding such recognitions.

16.       Coordinates photography of district events.

17.       Attends Board of Education meetings and prepares summaries for staff, community, and news media.

18.       Arranges for press conferences as required; and prepares press kits for     distribution to reporters covering Board meetings and public hearings.

19.       Speaks at public meetings on issues of general or specific pertinence to district schools and programs at the request of the Superintendent.

20.       Maintains open lines of communication with all community organizations and provide prompt responses to requests for public information about the district, its policies, and its program.

21.       Maintains an efficient filing system of pertinent information about the district including clippings, history, photographs and statistical data.

22.       Serves as a consultant to district and Board committees.

23.       Stays abreast of professional practices in the field of communications and public relations.

24.       Arranges a flexible daily, weekly and monthly work schedule designed to fulfill and meet listed performance responsibilities.

25.       Fulfills duties, tasks and responsibilities as directed by the Superintendent.

 

 

Other Duties and Responsibilities:

  1. Serves as a role model for students in how to conduct themselves as responsible citizens.
  2. Conducts other duties as delegated by the Superintendent.

 

ADDITIONAL WORKING CONDITIONS:

  • Occasional operation of a vehicle under inclement weather conditions.
  • Occasional exposure to hazardous situations.
  • Occasional interaction with hostile and/or aggressive individuals.
