Job Announcement: Administrative Professional 4, July 31, 2018 

The Ohio Department of Education, Office of Communications and Outreach, is seeking a highly-organized and

detail-oriented individual with demonstrated experience in coordination and schedule organization. This is an entry-
level communications position. The ideal candidate has previous experience as an administrative professional. In

addition, the candidate has interest in communications and wants to grow in a dynamic, fast-paced office.
Major Responsibilities and Duties:
Acts on behalf of the Executive Director by independently performing non-routine administrative tasks (i.e.,
independently formulates decisions and/or judgments involving non-legal interpretation of policies and procedures):
• Actively monitors and maintains office leadership daily calendar and appointments;
• Serves as liaison between administrator and staff;
• Independently drafts documents and correspondence;
• Supports communications staff in producing copy for internal and external audiences (e.g., press releases,
articles, reports) for use on a variety of platforms;
• Initiates communications;
• Transmits confidential decisions and directives;
• Maintains accurate stakeholder contact information;
• Handles media and other sensitive telephone calls, tracks for replies;
• Updates and maintains intranet and web pages;
• Supports and assists with routine content management and maintenance duties;
• Attends meetings as requested and may serve as recorder.
Performs secretarial tasks to assure organizational demands are met:
• Coordinates and maintains administrator’s appointment calendar;
• Organizes meetings and/or conferences, teleconferences (e.g., prepares materials and schedules resources);
• Serves as office timekeeper;
• Proofreads, tracks and monitors daily reports/correspondences, sensitive information, and telephone calls;
• Researches and collects information;
• Manages and updates all appropriate data relating to and in including mailboxes, mail lists,
reports/directories and master lists;
• Purchases supplies and equipment and other resources for the office.
Performs other duties as assigned:
• Works on special assignments and projects as directed;
• Receives, opens, logs and distributes incoming mail;
• Reviews and prioritizes Executive Director’s daily correspondence;
• Serves as office record keeper and maintains office and Executive Director’s files;
• Makes travel arrangements and submits expense reports;
• Maintains HR paperwork and monitors HR deadlines.
Minimum Qualifications:
• Completion of associate core coursework in secretarial science or business office applications from
accredited career school or community college; 12 months experience in secretarial/administrative
professional field.
• Or 30 months experience or 30 months training in secretarial/administrative professional field.
• Or 12 months experience as Administrative Professional 2 (State of Ohio job code 16872).
• Or equivalent of Minimum Class Qualifications for Employment noted above.

Preferred Qualifications:
• Undergraduate core coursework in communications or journalism
• 12 months of experience writing and/or editing professionally
• 6 months of experience with website maintenance (e.g., updating/editing website content)
• Strong customer service orientation
• Desire to advance in an organization

Additional Information:
- Starting compensation for this position is non-negotiable at $21.23 hourly/$44,158.40 annually
with the opportunity to advance in pay after 6 months.
